19_Collaborate on Your Sheets: Tagging Teammates and Resolving Comments in AECinspire (4:00)

Overview

Use the Comments tool to discuss an issue directly on a sheet with others working in the same project. Place a comment where the issue is, tag the person who needs to answer, and click Send. That person gets an email and an in-app notification. Replies stay in a thread at that location, and you resolve the comment when the issue is closed out. This video is for anyone working in a shared project, including field and project management staff who also use AECinspire.

What you'll learn

  • Where to find the Comments tool and what its list shows
  • How to place a comment on a sheet and tag a teammate with @
  • What the tagged user receives when you click Send
  • How to check notifications and change delivery settings in Manage Notifications
  • How to open a comment on its sheet from the comment list
  • How to reply to a thread and mark it Resolve

              Before You Begin

Comments are shared inside one project, so the people you want to tag need to be working on that project with you. Comments are for working conversations only. They are not exported with installation drawings or fabrication packages, so anything that has to reach the field on paper still needs to go on the sheet itself.

Part 1 — Open the Comments Tool

              1. Open a sheet in your project.
              2. On the right-hand toolbar, click Comments, near the center of the toolbar.
              3. Review the list. It shows every active comment on the project, whether or not you are assigned to it.
              4. With the Comments tool active, move to the area of the sheet you want to discuss, such as a room you need someone to check.
              5. Click that spot on the sheet to place the comment.
              6. Type @ followed by the teammate's name to tag them.
              7. Type your question or note.
              8. Click Send.
              9. Click Notifications in the upper right corner of your view.
              10. Review the list. It shows notifications tied to you, including when you are added to a project or tagged in a comment.
              11. If a user is not receiving comment emails, open Manage Notifications.
              12. Turn on email delivery, in-app pop-up delivery, or both.
              13. Click Comments on the right-hand toolbar to open the comment list.
              14. Click the comment you want to see. AECinspire opens the sheet, highlights the comment, and opens the thread.
              15. To reply, type in the thread and click Send. The conversation stays at its original location on the sheet.
              16. When the issue is closed out, click Resolve.

Note: Comments is a newer tool in AECinspire, so it may not appear in older training videos of the right-hand toolbar.

Part 2 — Drop a Comment and Tag a Teammate

The comment appears on the sheet. Click it to open the full conversation.

When you click Send, the tagged user is alerted two ways:

                              Channel

                              What the tagged user gets

                              Email

An email alert about the comment

                              In-app

A notification under Notifications in the upper right corner of AECinspire

Note: Comments live at the project level only. They are not exported with installation drawings or fabrication packages.

Best practice: Include field and project management staff who use AECinspire in your project conversations. For example, someone in the field can comment where a column line or wall does not match the floor plan.

Part 3 — Check and Manage Notifications

Part 4 — Find, Reply to, and Resolve a Comment

Resolved comments move to the Resolved category. You can still open them and add replies.

Note: The narrator says an open comment "will be blank" and a resolved one ends up in the resolved category. The video does not show what is blank on an open comment, so check the comment list for the open and resolved status in your own project.
