06_Search Before Scroll: Managing Sheets, Files, and Folders in Your Project (2:39)
Overview
This video covers the two screens you use to keep a project's drawing set organized: File Management, which controls folders and the individual files inside them, and Sheet Management, which controls the sheets themselves. It opens with the fastest way to move around a large sheet set — searching instead of scrolling — then shows how to archive, delete, and rename what you have already uploaded.
What you'll learn
- Find a specific floor plan by keyword instead of scrolling the sheet list
- Isolate power sheets and lighting sheets from a large sheet set
- Open a folder in File Management and see every file inside it
- Archive or delete an individual file, including specifications
- Rename sheet numbers and sheet names in Sheet Management
- Delete sheets in bulk with Delete Selected and understand the warning that follows
Before You Begin
You need a project that already has a sheet set or specifications uploaded — file and sheet management act on files that are already in the system. Deleting a sheet from a project is permanent, so know which sheets you intend to remove before you start; recovering one means re-uploading it.
Part 1 — Navigate a Large Sheet Set with Search
A full drawing set holds far too many floor plans to identify by hovering over each one. The rule the narrator gives is search before scroll.
- Locate the search bar above your sheet list.
- Type power into the search bar. Dynamic search runs as you type.
- Review the filtered result — only sheets with "power" in their title remain visible.
- Clear the search and type lighting to isolate the lighting sheets the same way.
- Click the sheet you want to open it directly in that view.
- Open File Management.
- Downsize (collapse) the sheets to reveal the list of every upload you have made to the project so far.
- Click a folder to expand it and see the individual files inside.
- Select an individual sheet inside the folder to delete it, leaving the rest of the upload intact.
- To act on a whole file, click the three dots on the right-hand side of its row.
- Choose Archive to archive the file altogether, or Delete to remove it.
- Return from File Management and open Sheet Management.
- Review the list — it brings up your folders as well as your floor plans.
- Select a sheet to rename its sheet number or sheet name.
- To remove several sheets at once, highlight the sheets you want to delete.
- Click Delete Selected.
- Read the warning that appears and confirm only if you are ready to permanently delete those sheets from the project.
Best practice: Search before scroll. This is a general rule for any application — if there is a search bar, use it. On a large sheet set it is the difference between one keystroke and scrolling until you find the one sheet you need.
Note: Search matches text in the sheet title, so the discipline used when the sheet set was named determines how well keyword search performs.
Part 2 — Manage Files and Folders in File Management
File Management is a screen all in itself. It manages both folders and the sheets held inside those folders — and it is the only place to remove one file from an upload without touching the rest.
|
Screen |
What it manages |
Typical use |
|
File Management |
Folders, and the individual files inside each folder |
Removing one bad sheet from an uploaded set; archiving or deleting an entire file; managing specifications |
|
Sheet Management |
The sheets themselves — folders and floor plans |
Renaming sheet numbers and sheet names; deleting several sheets at once |
Note: Specifications behave exactly the same way. Any file and any sheet you have in the project is fully manageable through the File Management view.
Part 3 — Rename and Bulk-Delete Sheets in Sheet Management
Note: Deletion from Sheet Management is permanent. If you remove a sheet you still need, the only way to get it back is to re-upload it.

Troubleshooting
|
Issue |
Resolution |
|
Cannot find one floor plan in a large sheet set |
Use the search bar and type a keyword from the sheet title, such as "power" or "lighting", instead of scrolling. |
|
Search returns nothing for a sheet you know exists |
Search matches the sheet title. Try a different keyword from the title, or confirm the sheet's name in Sheet Management. |
|
One sheet in an uploaded set is wrong, but the rest are correct |
Open File Management, click into the folder, and delete that individual file rather than the whole upload. |
|
Need to remove a file but want to keep the record |
Use Archive from the three dots menu instead of Delete. |
|
Deleted the wrong sheets from Sheet Management |
Deletion is permanent. Re-upload the sheets to restore them. |
|
Warning appears after clicking Delete Selected |
Expected. The warning confirms you intend to permanently delete the highlighted sheets from the project. |
|
Specifications need to be removed or replaced |
Specifications are managed in File Management exactly like sheet files. |
