Uploading Parts List

 Overview

Import an Excel file to add components to your company parts library in bulk. This guide walks through downloading the template, creating a component category, mapping columns, reviewing the preview, and importing the parts. The example uses a second box category for multi-box assemblies.

What you'll learn

  • Download the Excel import template
  • Prepare a parts list that matches the template structure
  • Add a new component category to the company parts library
  • Choose a material section, or leave it on Other
  • Drag and drop an Excel file and review the auto-mapped columns
  • Import components in bulk and confirm them in your library

Before You Begin

Prepare an Excel file with your parts, including each part's component category, unit of measure, and AECinspire information used to enrich the line. If you do not have a file yet, download the template in Part 1 and fill it in first.

You do not need to create a material section before importing. If your company moved over from an existing assembly template, everything arrived in the Other category, and that works as is.

Part 1 — Get the Import Template

  1. Open your Component Library.
  2. Click Import Excel at the top.
  3. Download the template.
  4. Open the template and review its columns, including the material sections and category name. Sample entries show how to fill it in.
  5. Replace the sample information with your own parts and keep the template structure.
  6. In the Component Library, click Add Category.
  7. Type the category name. The example uses 09_Box 2, a second box option for multi-box assemblies.
  8. Choose the material section. The example uses Other.
  9. Create the category.
  10. Drag and drop your Excel file into the import window.
  11. Review the auto-mapping. The system maps the columns it recognizes.
  12. If no material section is found in the file, add one, such as a boxes section, or continue without one.
  13. Click Continue.
  14. Review the preview of the data the system found.
  15. Confirm that the category, component, and tag columns are filled in, along with the material costs and labor rates for easy, medium, and difficult.
  16. Click Import Components.
  17. Wait for the Import was successful message.
  18. Scroll down your parts list and find the new category, such as Box 2.

Note: Use the template for the easiest import. You can also import your own file if it has a similar structure. Columns can be in a different order; you map them during the import.

Part 2 — Add the Category

Note: You can create a new material section at this step if needed. Categories can also remain in Other.

Note: The narrator plans a separate video on exporting and re-importing parts to build out your material sections.

Part 3 — Import the Excel File

Note: The example file leaves the custom column empty, so the preview shows zeros for it.

Part 4 — Import a Whole Parts List at Once

Method

When to use it

Add components one at a time

A single new part

Import Excel

A category, or your entire parts list, in bulk

You can include multiple categories in one Excel file rather than using a separate sheet for each item type. Each line must identify its category. The narrator says you can upload hundreds of items at once.

Best practice: If you have questions about your assembly template or importing parts, contact your customer success manager (CSM). They will work through the upload with you.

Troubleshooting

Issue

Resolution

Everything sits in Other after moving from the assembly template

This is expected. You can use the library as is and create material sections when needed.

The import finds no material section

Continue, or add a new material section during the import. Your categories can stay in Other.

Columns in your file are in a different order

The system auto-maps the columns it recognizes. Review the mapping before continuing, then check the preview.

The custom column shows zeros

Check whether the custom column in your file is empty. Fill it in if needed.

The category you want is not in the list

Add it with Add Category.
